facilitate the document preparation of the company’s quality management

company’s quality management system documents.
3. Responsibility: The drafter(s), reviewer(s) and approver(s) of all documents are
responsible for implementation of this procedure.
4. Contents:

4.1 General principles of preparing documents
4.1.1 The document format is fixed, and all kinds of documents should have system
headers, numbering and dates to conveniently identify the text and categories. 4.1.2 All documents are classified uniformly, and system numbers are established for
consistency throughout the company, so as to easily identify, control, track and
archive documents.
4.1.3 The document number is assigned and recorded by specific persons. The
document shall correspond to a specific number respectively; once the
numbering system is determined, it is generally forbidden to make any change so as to ensure the stability of the system.
4.1.4 The language shall be conci and clear by using easily understandable,
powerful and preci words; the contents of the document shall be well
organized, easy to understand and easy to u; the title of the document shall be able to clearly explain the nature of the document.
4.1.5 The contents must be prepared and amended as required, reflecting the
operability, clarity and riousness.
4.1.6 Sufficient space must be left when filling data.
4.2 Document contents
4.2.1 The header of a document shall be located at the top of the first page and the
contents shall be included as follows.

h Backup number  The identification number of every copy of a document,
which is a two-digit number, starting from 01 in an increasing order.
i Issuing department It indicates the department issuing this document.
j Distributed department It indicates all departments to which the document is distributed.

l Reasons for amendment After any content has been changed, the reasons
shall be outlined here.
4.2.2 The document name, document number and page number shall be included at
the top of a document after Page 2.
4.2.3 All documents shall be compod of the parts as follows:

b. Scope of application To specify the applicable areas or regions of the
document.
c. Responsibility To fill in persons responsible for the regulation.
d. Contents According to the category of this procedure, the methods or

measures continuously taken shall be prepared so as to achieve the
purpo of this procedure, and the flowchart can be applied in order to
emphasize the measures taken in the procedure. In this ca, the flowchart
must be put on the first page of this procedure. Other documents and
records mentioned in the document are required to be marked in the
attachments.
e. Storage and management of relevant records Storage and
management of supporting records which are generated when filling in this
document.
f. Appendix The list of this document’s s upporting records, the list of this
document’s referenced records and the list of this document’s references.
The contents cover the rial number, the document (record) name, the
document (record) number and remarks.
g. As to drafting, reviewing and approving of the document, it is required to fill
in positions or posts instead of individual names.
The documents concerning responsibilities should be drafted by the Human
Resources and Administration Department, reviewed by the Director of the

4.2.4.2 Any record (voucher) form related to the product shall be saved for one year
after the valid date of the product, and any record (voucher) form of the product without a valid date shall be saved for three years; other record (voucher) forms shall be saved for three years.
4.3 Layout design of a document

4.3.2 The top format of the first page and the top format of every page after Page 2 of
all documents shall follow the requirement of Appendix I.
4.3.3 The title of the header employs bold Song of size 4, other Chine characters in
the header and main body employ Song of size small 4 and English employs
Arial of size 5. The line spacing is 1.5 times. Page Setup: Top - 2.5cm, bottom -
2cm, left - 2.5cm, right - 2cm. The rial numbers of the main body are
compod of multi-level numbers, such as: 4.2, 4.2.1, 4.2.1.1 and so on. The
rial numbers are generated manually, and Arial is adopted with size small 4.
Two spaces exist between the text and the rial number, and the turn-back lines shall be aligned with the text under 4.2; one space shall be left between the page number and “/”.
4.3.4 The referenced document name shall be enclod by 《》and the referenced
records shall be enclod by " " without any number.
4.3.5 The texts on the top of any header after Page 2 shall employ Song of size 5, and
English and numbers shall employ Arial of size 5; one space shall be left between the page number and “/”.
4.4 Design of the record (voucher) form
4.4.1 In principle, the record (voucher) form shall be designed in paper of size

4.4.2 Layout requirements
4.4.2.1 The vertical page tup: Top - 2.0cm, bottom - 1.5cm, left - 1.5cm, Right -
