英语书信格式模板

篇一:英文电子邮件格式及范文

英文电子邮件的基本要素是主题、称谓、正文、结尾用语及署名。

电子邮件最重要的部分是主题,假设我们都是很忙的人,在打开邮箱阅读邮件时,第一眼看到的就是邮件的主题。所以,主题应当做到言简意赅并突出邮件重要性。英文邮件的主题需要注意不超过35个字母,将位于句首的单词和专有名词首字母大写。比如:Some questions about C++.在比较正式的格式中,需要把每个单词的首字母大写(介词、冠词除外)。

称谓如果是第一次给对方写信,那么称谓最好用“Dear+全名”,这样会让人感觉比较正式。如果对方以非正式口吻来信,我们也可以类似非正式地回复。比如:“Hello/Hi Lillian”。在实际通信中可能遇到不知道对方姓名,可以用“Dear+对方头衔”,如“Dear

President”,或者“Dear+Sir/Madam”形式。英国人习惯在称呼后加“,”,美国人习惯在称谓后加“:”,有时也可以不加任何标点,是具体情况而定。

在书写正文时,把最重要的事情写在正文最前面或者邮件内容较长时写在第一段。为了让收件人阅读邮件比较舒服,我们需要注意邮件正文结构的美感,邮件段落最好控制在两三段之内。如

果一封电子邮件涉及多个信息点,我们可以采用分条目的方法,如符号、小标题、编号来使得邮件想要表达的内容层次清晰。邮件内容应注意单词的拼写、大小写、标点、语法等。所谓以小见大。

结尾语在正文之后添加。注意一般结尾语中只有第一个单词首字母大写而剩余单词都小写,此处与称呼不同。

在正文最后需要署名,可以写全名,也可以只写名字。需要辨

明性别时可以在姓名后面注明(Mr./Ms.)。对于咱们中国人,为了区分姓和名,可以把我们的姓的字母全部大写,例如XIONG Lillian.如果写信人代表的是一个组织或部门,应在名字下一行写上自己的职位、所属部门。

邮件中常用词汇:

对方告知决定. Plea let me know your decision as soon as

咨询了解

咨询了解类邮件的目的是想要得到关于某人、物的一些信息。邮件具体内容大致包含如下:

1)告知对方你是如何得知其信息的,比如报纸、网站等。

2)说明自己想要了解的东西,当咨询信息较多时,最好列举出

来,as 详细、清晰 as possible.

3)末尾用一句话结束总结这次咨询。

一、主题

主题(Subject)框的内容应简明地概括信的内容,短的可以是一个单词,如greetings;长的可以是一个名词性短语,也可以是完整句,但长度一般不超过35个字母。

主题框的内容切忌含糊不清。

一般来说,只要将位于句首的单词和专有名词的首字母大写即可。另外一种较为正规的格式可将除了少于5个字母的介词、连接词或冠词之外的每一个单词的首字母大写。

视信的内容是否重要,还可以开头加上URGENT或者FYI(For

Your Information,供参考),如:URGENT:Submit your report today!

二、称呼

1、E-mail一般使用非正式的文体,因此正文(Body)前的称呼(Salutation)通常无须使用诸如Dear Mr. John之类的表达。在同辈的亲朋好友或同事间可以直呼其名,但对长辈或上级最好使用头衔加上姓。YES:Tommy,或者Mr. Smith。

2、称呼和正文之间,段落之间,正文和信尾客套话之间一般空一行,开头无须空格。如: Jimmy,

3、人家的名字千万不要错,老一辈的看到名字错就干脆撵去垃圾桶. 同样, 头衔都不要错. 头衔或学位,任择其一吧.以下是一样的:

4、多过一个男人,用Messrs,就是Misters的意思,不过不要跟名字,

跟姓就行啦.

Mmes., or Ms. 同样不要跟名字. 例子: Ms. Farb, Lionel, and

Gray 。男女一齐呢? 弄清楚称呼就行.例如: Dr. and Mrs. Harold

5、有人有自己头衔就要跟紧,例如有人有荣誉学位就不喜欢用一般的头衔,有时大头不知道对方头衔,干脆用Ms.算了. Ms. Sarah

A、书信的结尾致意要留意,弄清大家的关系才选择用词,例子:

有时在we, I, and you之间选择是很烦的事-- 如果是公司代表联

那么I和you呢?好烦好烦.一般来说,收信人的利益比较重要,名义上都要这样想.给人尊重的语气就一般不会错了. 多用you有时会有隔阂的感觉.

C、签名:不要把Mr., Ms., Mrs., Dr.之类一起签,人家会笑你的...

correspondence),亦称请柬;一种是非正式格式 (informal

correspondence), 即一般的邀请信。邀请信是在形式上不如请柬那样正规,但也是很考究。书写时应注意:

邀请信一定要将邀请的时间(年、月、日、钟点)、地点、场合写清楚,不能使接信人存在任何疑虑。例如:“I’d like you and Bob

祝贺信的写作格式可以比照一般书信的格式。即通常有信头、

信内地址、称呼、正文、结尾 语、 签名等几个部分组成。但这里需要说明的是根据亲疏关系的不同,有些祝贺信是可以随意一

些的。比如信内地址有时可以省略,而信头也大体可以写的简略一些。除此之外写祝贺信的 时候还应该注意以下一些内容。写祝贺信要充满热情、喜悦,说些鼓励、褒扬的话,使对方确实感到温暖和振奋。

英文书信结构要素

(1 )信头(Letterhead)。

信头包括发信人的地址和发信日期。很多人不太注意保留信封,在信内的打上发信人地址就方便收信人回信。如果使用已经印好信头的信纸,就只要打上发信日期。信头位于信的最上方,原则上首先按从小到大的顺序(正好与中文书信相反),门牌号码和街名或单位名占一行(太长可占两行),城镇名和邮政编码占一行,国名占一行。然后是发信日期,它是信头的最后一行,可以写成日月年(英式)也可写成月日年(美式),如:May8,1996或8May,1996. 必然说明的是,月份要写英文名称,否则有可能产生歧义,如5/8/1996,美国人会理解为1996年5 月8 日,而英国人则理解为1996年8 月5 日。

(2 )封内地址(Inside Address)。

封内地址包括收信人的姓名和地址。封内地址必须和信封地址一致,否则就是出了差错,收信人此时可将信退回或按封内地址转寄。封内地址的第一行是收信人姓名,第二行职务,从第三行开始写收信人地址,写出法原则上和写发信人地址一样。

(3 )称呼(Salutation)。

称呼应与亲近程度相吻合。最为正式的也是最不亲近的称呼为Dear Sir(英国用)或Dear Genteman (美国用),一般用于给政

府机关、官员的公函中,或用于首次往来的商业书信中。比较熟识的人由应称他的姓,最随便也是最亲近的称呼是直呼其名,一般用于亲朋好友,但应注意,称姓时只称姓,不要又称名,而称名时不要加Dr或Mr. 如某人全名为William.另外,如果对方为女性却不知应称Mrs.还是Miss时可称Ms. 。称呼后面的标点英国人习惯用逗号,而美国人习惯用冒号(亲朋好友之间可用逗号)。

(4 )正文(Body)。

正文是信的主体,和中文书信的要求一样,正文的内容要主题突了出、层次清楚、语言简洁、表达准确。如果正文很长需要几张信纸联页时,则应在每张联页左上端都注明页数和收信人名称,如:

结束语是习惯的客套用语,它必须和前面的称呼遥相呼应。如果前面称Dear Sir,则应选择下列结束语:Very simcerely yours ,Vedry respecrfully yours,Very truly yours ,Sincerely yours 或Yours

(6 )签名和发信人姓名(Signaturd and Name Addresr)。

签名因为是亲笔手写,可能不好辩认,因此必须还要打印出来。签名只需签姓名,不需加Mr. 或Mrs.,以及学位头衔等,但打印姓名时,因为中文名没有性别之分,所以中文拼音名前就加Mr.或Mrs.,Miss.,Ms.,以便收信人辨认,英文名男性不必加Mr.,但女

性要加Mrs.,Miss.,Ms. ,打印名后面可加学位头衔等。

一封完整的英文书信必须依序包含上述六个要素。如果信件有附件并有必要提醒收信人,可在第六个要素之后加上附件注记(Enclosure 或Encl.)。如果整封信写好后又发现遗漏了什么,可在附件注记之后加上又启(Postscript)或其缩写(P.S.)进行补充。

1)写信人的姓名、

地址写在信封正面的左上角。

2)收信人的姓名、地址写在信封正面中央稍偏右的地方。

3)邮票贴在信封的右上角。

4)地址的写法是先写收信人或寄信人的姓名,然后按照从小到大顺序依次写出门牌号、街道、城市、省

或州名、邮编,最后写国名。

5)收信人名前应根据需要加:Mr(先生)、Mrs(太太、夫人)、Miss(小姐)、Ms(女

士,已婚或

未婚均可)、Dr(博士)、Prof(教授)等称呼,以示礼貌。有些中国学生给老师写信常

用"teacher"作为称呼,这种用法不正确。在英语中"teacher"就跟"worker,driver,farmer"等一

样是一种职业,不能作为称呼。男老师我们可以用Mr,女老师我们用Mrs、Miss或Ms作为称呼。

II.信文的格式

1)把寄信人的地址和日期(简称"信头")写在信纸的右上角。地址的写法同信封。

2)把收信人的姓名、地址(简称"内地址")写在寄信人地址和日期的左下方,即信纸的左边,低寄信人

日期一至二行处。私人信件此项内容可以不写。

3)把称呼写在收信人姓名、地址下面,相距一行处。称呼一般

以"Dear„"开头,后面用逗号。如无"内

地址",可以把称呼向上顺移。

4)书信正文从称呼下一行的3至5个字母开始。

5)如同汉语信一样,英文信的结尾也常写有"祝好"、"盼来信"、"代向„„问好"之类的话,我们称之

为"结束语"。

6)在信的结尾下面签上自己的姓名。除了对熟人或亲密的人以外,签名必须写全姓名,而且不管什么

信件,都应由写信人亲笔签名。

1)开头语

你2001年2月6日的来信收到了。

这么久才给你回信很感歉意。

2)结束语

①I hope to have a letter from you before long.

希望不久能收到你的来信。

②Plea write to me so on and tell me all about yourlf.

请快点给我来信,并谈谈你的情况。
