Exit Procedure
PURPOSE
The purpo of this document is to t instructions for all HR in Watts Asia Pacific to upgrade the accuracy and the comprehensiveness of exit process. Make sure the employees complete the job handover and submit documents required before they exit.

CONENTS
The exit process is divided into two parts: Voluntary Resignation and Involuntary Resignation. Detailed steps have listed as below.
A.Voluntary Resignation
This part is divided into four phas which are ‘One Month before the Employees Exit’, ‘Two Weeks before the Employees Exit’, ‘The Day the Employees Exit’ and ‘Two Weeks after the Employees Exit’. HR should make sure the following six steps have been taken.
a.One Month before the Employees Exit
After receiving the Resignation Letter, the employees submit, HR should confirm the employees’ last working day with their supervisors. Plea remind the supervisors of the importance of job handover and nd the <Recruitment Application Form> and <Job Description> at the meantime (Attachment 1 & 2).
It is also important to let the employees know how many leaves they could take before exit and make sure the supervisors have known the employees’ leave statue.
Do not forget to inform related functions like IT, Finance, Admin, etc. of the employees’ la
st working day to let them make preparations in time.
b.Two Weeks before the Employees Exit
After two weeks, HR should arrange the exit interview with the employees alone. The following questions are for reference (Attachment 3):
✓May I know the specific reasons why you cho to leave the company?
✓Any working environments you like or you do not like?
✓During your work, do you think any policies or process need to be update?
✓Any advice or opinions you want to share?

c.The Day the Employees Exit
The employees cannot leave without taking the following steps. Plea check the form be
low:

d.Two Weeks after the Employees Exit
According to the Labor Law, HR has the obligation to make sure the employees have received the Termination Letter in 15 days (Attachment 5).
B.Involuntary Resignation
This part is divided into three phas which are ‘Before the F2F Exit Interview’, ‘On the Day of F2F Exit Interview’ and ‘Two Weeks after the Employees Exit’. Plea follow the 5 steps listed below:
a.Before the F2F Exit Interview
After getting the notice to terminate the employees, HR should immediately check the years the employees rved in Watts and their leave statues to make Termination Agreements. Plea also confirm the day for F2F Interview with the supervisors.

b.On the Day of F2F Exit Interview
The employees have to get all the signatures required, or they are not allowed to leave the company. So HR has the obligation to check this process and make sure the employees have left their contact number and address.
To manager and manager level above, HR should make announcement drafts to inform all staff in Asia Pacific of the organizational change. The announcement should be nt on the day the employees leave.
c.Two Weeks after the Employees Exit
According to the Labor Law, HR has the obligation to make sure the employees have received the Termination Letter in 15 days (Attachment 5).
