文件控制程序
1. PURPOSE

The purpo of this procedure is to describe the way in which RYCO controls all documents which relate to the company's management system.

5.1 QUALITY MANAGER

The Quality Manager or his nominee is responsible for:

(a) Issue and control of Management Manuals, Procedures and Work Instructions

The Human Resources Manager is responsible for maintaining confidential employee information such as pay role and personnel files.

6. PROCEDURE
程序
The distribution of controlled Management related procedures / documents shall be monitored and maintained so that the most current approved issue is available on RYCO computer network drives or the RYCO intranet. Where possible digital signatures may be ud to review and approve electronic documents.

Certain documents not listed on network drives or Intranet may be controlled using a document control register. Refer ction 6.1.

6.1 DOCUMENT CONTROL REGISTER
文件控制登记表
A Document Control Register shall be maintained by the Quality Manager or nominee for documents that are not controlled via the RYCO network drive / RYCO intranet.

The register shall consist of the following:

"Document Number" - which shall be a uniquely identifiable number relating to the document (eg., Procedure Number).

"Document Title" - which will state the name of the document.
“文件标题” - 说明文件名称
"Issue" - which shall state the issue of the document.
“期号” - 说明文件发行期号
"Amendment" (Optional)- which shall state the amendment No.

"Copy Number" (Optional) - which shall commence at 1 and continue 2, 3 etc. This number shall then be indicated on the particular document.
“副本编号”(可选) - 从1开始,应该在具体文件上标注。
"Issued to" - which shall state the name and/or title of the addre.
“发布范围” - 说明接收文件人员的姓名和/或职务
"Status" - which shall indicate whether the document is controlled or uncontrolled. (refer 6.2)

"Date" - which shall state the date of despatch of the documents.
“日期” - 说明文件分发日期
"Issued by" - which shall indicate the name or title of the person issuing the document
“分发人” - 说明文件分发人的姓名或职务

(or the issuer if externally issued)

The documents shall be issued by the Quality Manager or his nominee and shall be issued on a controlled copy basis as hard copy or electronic copy.

Where documents are electronically controlled they shall be posted as a read only / PDF file on the RYCO computer network / RYCO intranet and controlled by the Quality Manager or nominee. The electronic copy shall always be the latest issue and hard printed copies will be deemed uncontrolled.
